From now on, you set the pace for your trainings. With configurable training cycles, you plan your mandatory courses exactly as it fits your compliance calendar, independent of your contract period. You give each cycle its own name, freely choose start and end dates, and decide for yourself when your learners receive notifications from LMS+. Do I need to do anything now?

Not on the day of the changeover—you can sit back and relax. Things get exciting with the next training cycle: you design that one yourself now. You decide when it starts, how long it runs, and which emails your learners receive.

What happens to my ongoing training cycles?

They simply continue running, just as before. We transferred every training cycle exactly as it was: same duration, same learners, same progress. Your previous work remains completely intact. -> Article: Where to find my previous training courses?

Has the assignmend method changed?

No, you assign learners in the usual way. The only thing new is that you assign them to a specific training cycle. -> Article: How can you enroll learners in training cycles?

Will my learners be notified or reassigned due to the changeover?

No, the changeover takes place entirely in the background. No one will be reassigned, and no one will receive an email because of it.

Do my cycle dates have to match the contract period?

No, and that is precisely what is new. You choose the start and end dates entirely according to your compliance calendar, matching internal deadlines, audits, or your annual planning. The dates can even lie outside your current contract period. This allows you to plan into the future in LMS+ starting right now.

Will our training records remain fully intact?

Yes, your records are safe. Certificates and data of training remain available for every training cycle, even after the cycle ends. Basically: Training cycles that have started cannot be deleted. This keeps your training history completely traceable, allowing you to track who completed which course and when at any time.


Creating and Planning Training Cycles

Plan your courses as far in advance as you want, and as flexibly as your organization needs.

How do I create a new training cycle?

This takes just a few steps: You select the course, give the cycle a name, set the start and end dates, and decide which emails are sent. Done! Step-by-step instructions can be found in the article: Creating and editing training cycles

Can I run multiple cycles for the same course at the same time?

Yes, that is one of the main advantages of the new training cycles. You can train different locations, departments, or groups in parallel or staggered over time, each with its own dates and email settings. Do learners see the title I assigned to the training cycle?

No, the title is only visible to you. Your learners see the name of the course as usual. This allows you to name your training cycles entirely according to your own logic, for example "Data Protection 2027 – Munich Office". The name also appears in your reports, helping you quickly find any cycle again.

Can I already create the next training cycle while the current one is still running?

Yes, and we even recommend it. This way your next training round is ready to go before the current one ends. A future training cycle appears under "Planned" until its start date is reached. It then automatically switches to "Active".

How far in advance can I plan?

As far as you like. For example, you can already set up your cycles for 2027 and 2028 today, giving you an overview of your training planning for the coming years. The number of cycles per course is not limited.

Do I need a separate training cycle for each language version of a course?

No, a single training cycle covers all your booked language versions of the course.

Can I edit a training cycle retroactively?

Yes, you stay flexible. Name, end date, enrollment notifications, and reminders can be adjusted at any time, even for running cycles. To do so, open the training cycle and select "View details", then "Settings" and "Edit". Can I delete a training cycle?

Yes, as long as it has not started yet. You can delete a scheduled training cycle using the "Delete training cycle" button on its tile. Cycles that have already started are intentionally retained so that your training history remains fully traceable. If you want to end a running cycle early, simply bring forward the end date.


Assigning Learners

You determine exactly who is included for each training cycle, even if your team changes in the meantime.

Do I have to reassign learners for every new training cycle?

Yes, and that gives you full freedom: Each training cycle has its own learners. This means you can decide afresh for every training round who is included. You can add new employees and simply leave out those who have left.

Can I also add learners to a running training cycle, for example new employees?

Yes, at any time. If enrollment notifications are active for this training cycle, the person will receive their notification immediately upon assignment.


Controlling Emails to Learners

You decide whether, when, and how often your learners receive emails from LMS+. This ensures that communication fits your organization perfectly.

What time (German time) are enrollment notifications sent out?

Always at the same time so you can plan well: at 08:00 UTC. This corresponds to 10:00 CEST (summer time) and 09:00 CET (winter time). This allows you, for example, to schedule an internal announcement in advance.

Can I change the email settings during a running training cycle?

Yes. Enrollment notifications and automatic reminders can be turned on and off at any time before or during a training cycle. You also set the reminder interval per training cycle. This allows you to react flexibly, for instance if a final push is needed shortly before the deadline. What happens if I switch enrollment notifications off and turn them back on later?

From that moment on, all newly assigned learners will receive their email as usual. Anyone assigned while notifications were turned off will not receive a retroactive invitation. This ensures no one receives a duplicate or delayed email unexpectedly.

Do my email settings apply to all training cycles?

No, each training cycle has its own settings. This allows you to decide individually for each course and group—for example, with reminders for one location and without for another. If you generally do not want any emails from LMS+, simply turn them off for every new training cycle.


Training Cycle End and Deadlines

You set the end date—and thus the deadline—for each training cycle yourself and remain flexible throughout. Your training records are safe in any case.

What happens to my training cycle on the end date?

When the cycle expires, the status of this cycle changes from "Active" to "Completed", and you will now find these training cycles either via the course overview or in "All Training Cycles" in the lower section under "Completed or inactive cycles". This section must be expanded, giving you access to all historical training data from past runs. -> Article: Course Overview - All Courses / Training Records Section

What happens on the end date of a training cycle for my learners?

The end date is your deadline, and you determine it yourself now. Until then, your learners have time to complete the course. Starting on the end date, the course can no longer be opened for your learners in this training cycle. Anyone who is not finished by then loses access, as before. However, you can assign the person to a new training cycle at any time.

Can I end the training cycle early?

Yes, very easily: Bring forward the end date in the settings. The new end date must be today at the earliest and cannot lie before the start date.

The training cycle is already completed. Can I reopen it?

No, a completed training cycle cannot be reactivated. Instead, assign the affected persons to a new training cycle for the same course. This is possible at any time.


Training Cycles and Your Contract

Your training planning and your contract are now independent of each other. This gives you full freedom in your planning.

Will all my contracts be extended automatically now?

No, your contract remains as it is. Contract duration, notice periods, and renewals continue to be governed by your contract. The only thing new is that renewals no longer affect your training cycles. Your training planning is entirely up to you.

Does my contract automatically renew if the end date of the training cycle lies after the end of the contract?

No. The end date of a training cycle is purely a planning setting in LMS+. It has no impact on the duration or renewal of your contract with lawpilots. This allows you to plan your courses flexibly in advance without changing anything regarding your contract.

What happens to my training cycles upon a contract renewal?

Nothing at all, and that is the good news. No new training cycle is created, no one is reassigned, and no one receives an email. Notifications regarding the renewal date or the contract in general are not sent from LMS+. You start your next training cycle whenever it suits you, even well in advance.

What happens when my contract ends?

Your training records and certificates remain preserved as before. However, if your subscription becomes inactive, access to the courses ends, even if a training cycle is still running according to its end date. Would you like to continue your courses?
