Units
What are units?
Units are custom groupings that learning managers can create to organise learners. Once a unit has been created, learners can be assigned to it. There is no limit to the number of units you can create, and a single learner can belong to multiple units at the same time.
Every learner already has three default metadata fields: Location, Department, and Position. Units extend this by letting you group learners in any way that isn't covered by these default fields, for example, by project team, cohort, seniority level, or compliance group.
Why use units?
Units are a tagging mechanism designed to speed up administration. Instead of managing learners one by one, you can perform bulk actions on everyone in a unit at once.
For example, when assigning learners to a course, you can filter by a specific unit and assign all learners in that unit in a single action rather than searching for and selecting each learner individually.
When should I use units?
Use units whenever you need to group learners in a way that the default Location, Department, and Position fields don't support. Common examples include:
- Cohorts — e.g. "New starters – Q3" for onboarding programmes
- Project or working groups — teams that span multiple departments
- Compliance groups — learners who share specific training requirements
- Temporary groupings — short-lived groups for one-off training initiatives
If a grouping already exists as a Location, Department, or Position, you don't need a unit for it, units are best reserved for everything else.
How to create and assign units
- Click the 'Administration' button in the left navigation panel
- Click the 'Units' tab in the top bar of the administration page
- In the 'Create Units' modal type in the name of the unit you would like to create and click 'Add'
(Note that you can repeat this if you would like to create multiple units at the same time) - Once you have added the desired units, click the save button
You can now start assigning learners to your unit(s). You can do this directly on the Learners page by selecting one or more learners, clicking the actions dropdown and selecting the 'Assign units' option, or via the CSV upload feature
