Name Correction – Data Record Correction
You can easily correct or update incorrect data (such as names, departments, locations, or IDs) at any time, either individually or collectively for all learners. To do this, simply use your original CSV file and upload it again after making the adjustments/corrections.
It is not strictly necessary to use the complete data records — you can, of course, also create a correction file containing only the data records to be corrected. However, this file must strictly follow the rules for CSV files as well. Nevertheless, we always recommend using the original file so that it remains up to date.
The system then performs an automatic synchronization, updating existing profiles instead of creating new users. Learning progress and certificates are fully retained.
Step-by-Step Instructions
- Edit original file: Open the local CSV file from your original import (e.g., in Excel or Google Sheets) and make the desired changes (e.g., correct typos in names, adjust departments).
- Save as CSV: Afterwards, save the file again in CSV format (UTF-8) to guarantee the correct display of special characters/umlauts.
- Upload file: Simply upload the adjusted file again in the administration area using the "Add learners" button.
Important Rules for Synchronization
- The email address must not be changed: The email address serves as a unique key (identifier) for the system. During upload, the system uses the email address to check whether a person already exists and then updates the remaining fields. If you change an email address in the CSV file, this will be interpreted as a "new user" and a second account will be created. (Important: Since email changes require deeper adjustments, they cannot be changed directly in the profile. If an email address needs to be updated, please contact service@lawpilots.com directly).
- Fields cannot be cleared: With this update method, fields can only be overwritten, but not deleted or cleared. If a field in the CSV file remains empty, the system simply retains the old information. If you want to remove information in the system, use a hyphen (
-), for example, as a placeholder in the CSV cell instead. - No automatic deletion: Persons you remove from the CSV file are not automatically deleted from the system. They will remain in your overview.
- Local archiving recommended: Since a direct system export of your learner data is currently not possible, we recommend always archiving the most current version of your CSV file well-structured locally on your PC.
