How Should You Prepare for the Upcoming Training Cycle?

lawpilots training cycles renew automatically. To ensure a smooth transition and continuous learner progress, it's important to understand how training cycles work and what actions to take before a renewal.

What Is a Training Cycle?

training cycle defines the period during which a subscription is active and licenses are valid. Learners can participate and access the training during the entire period if assigned to the training.

As training cycles follow your subscription please note:

  • Each subscription has its own start and end date.
  • If you have multiple active subscriptions, they may renew on different dates, each triggering its own training cycle.

As a result a new training cycle begins automatically when your subscription is renewing.

You can view your subscription details in LMS+ under Administration → Subscriptions. You find the training cycle for each training in the training details via Trainings Tab Learners.

Training Cycle vs. Due Date

A Training Cycle reflects the license period tied to a subscription. Learners assigned to a training at the point of renewal will be re-assigned at the start of the next cycle.

The Due Date is set manually by your organization’s learning manager to indicate when learners should complete a course. It is calculated for each learner from the date of assignment to the training individually. It does not affect license validity.

When Will I Be Notified?

lawpilots sends two reminders for each upcoming training cycle renewal:

  • 14 days before the renewal
  • 3 days before the renewal

These reminders are sent via email and help ensure you have time to review your configuration and make any updates.

What Should I Do Before a Training Cycle Renews?

We recommend to follow these steps before a Training cycle renews:

  1. Review your learner list
    • Add any new learners who need training
    • Archive learners who no longer require access
    • Avoid archiving or unassigning learners mid-training—progress will be lost and cannot be recovered
  2. Use any remaining licenses
    Unused licenses will expire at the end of the current training cycle and cannot be transferred to the next training cycle.
  3. Review training settings (optional)
    Your existing configurations—including due dates and reminders—will carry over to the next cycle. You may adjust them if needed.
  4. Set a calendar reminder
    Even though we notify you, it's a good idea to set a personal reminder to:
    • Use up licenses
    • Review learners and assignments
    • Make configuration updates if necessary

What happens when the training cycle begins?

Once a subscription is renewing a new training cycle will begin automatically.

Learners assigned to a training at the point of renewal will be re-assigned at the start of the next training cycle.
